Clinical documentation built for the way ARMHS and therapy are audited
Assessments, treatment plans and progress notes that keep track of what each document depends on, with supervisor review built in. Clinicians write the notes. AraSync keeps them connected.
Notes that are ready for review.
Clinicians write the note. AraSync checks it against the treatment plan and DHS wording, then sends it to the supervisor’s queue.
- A note will not open when the treatment plan behind it has lapsed
- Wording suggestions the clinician can accept or ignore
- Drafts save on their own
From first draft to approved note
The practitioner writes and signs. AraSync saves the draft as they go, checks the documents the note depends on, and routes the finished note to a supervisor.
- ✓Drafts auto-save every 30 seconds, and earlier saved copies can be recovered
- ✓Client and practitioner signatures on the document
- ✓Completing a billable document creates its service line
- ✓A supervisor approves, requests a revision or rejects, and each decision is recorded
- ✓Completed documents downloadable as PDF

Prerequisites checked AraSync
The diagnostic assessment, functional assessment and treatment plan must be current on the date of service.
-
Wording checked AraSync
A rule-based writing check flags vague phrasing against DHS documentation standards, and the AI assist can suggest edits.
-
Practitioner signs Person
The practitioner decides what stays in the note.

Approve, or send it back with a reason.
If a prerequisite has lapsed
The note cannot be completed, and the form names which document needs renewing. The practitioner can still write the plan or assessment that unblocks it.
When it is approved
The approval is logged with who and when, and the service line becomes eligible for the pre-billing check.
Suggestions for the clinician, not a replacement
Two tools look at the words. Neither writes the clinical content, and the clinician and supervisor keep the final say.
The writing check
A rule-based check reads the note against DHS documentation standards and flags vague phrasing or a missing staff action, skill or purpose. The same note gives the same findings every time.
The AI assist
On request, the AI assist suggests clearer wording built only from what the clinician wrote. The suggestion is shown for review, and nothing lands in the note unless the clinician accepts it.
The documents ARMHS and outpatient programs actually use
Each program sees the document types it needs, and agency-specific versions can be configured.
Progress and session notes
ARMHS progress notes and community intervention notes, mental health progress and case notes, outpatient group notes, contact, collateral and case consult notes, cancel or no-show records.
Assessments and plans
Diagnostic assessments and addenda, functional assessments, ARMHS and mental health treatment plans, ARMHS crisis plans, vulnerable adult risk assessments.
Screenings and safety
PHQ-9, GAD-7, PCL-5 and the Columbia Suicide Severity Rating Scale (C-SSRS), plus the Stanley-Brown safety plan.
Intake, consent and records
Client intake forms, consent to treatment, releases of information, HIPAA privacy notice, discharge summaries, incident reports and clinical supervision sessions.
DA, FA and ITP, tracked together
An ARMHS progress note is only as good as the documents behind it. AraSync keeps the diagnostic assessment, functional assessment and treatment plan on the client record and watches their dates.
- ✓Judged as of the date of service, so a note written late is checked against what was current that day
- ✓Expiring assessments and plans shown ahead of time
- ✓A new plan replaces the previous one as the current version
- ✓Only the note is held: the practitioner can still write the plan or assessment that unblocks it
