About AraSync

Built by someone who runs a care agency

AraSync was built inside a Minnesota multi-service agency by its founder, and that agency runs on it every day.

Why AraSync exists

I built the software I wished I could buy when I started my own agency.

I run a Minnesota agency that provides mental health services, personal care and adult day services. For years I dealt with the same problems every operator knows: paperwork that followed providers home, compliance tracking spread across spreadsheets, EVV that did not talk to the clinical record, and claims that came back for reasons that were fixable before they went out.

The systems we tried were built by software companies that had never run an agency. They did not account for a practitioner documenting between community visits, a credential renewal that quietly lapses, or a billing lead reconciling visit data against notes late at night.

So I built AraSync as the system my own agency runs on. Features exist because our staff needed them, and workflows are used in real programs before they reach anyone else.

Running on AraSync today

Four programs, one record

  • ✓ ARMHS H2017
Community sessions, progress notes and the DA, FA and treatment plan behind them.
  • ✓ Outpatient therapy 90837
Therapy notes, assessments and supervisor review.
  • ✓ PCA and CFSS T1019
Field visits with check-in, check-out and client signatures, sent on as EVV data.
  • ✓ Adult Day Services S5102
Daily attendance, transportation and participant forms.
Why the name

Ara is Yoruba for the body: the person. Sync is what the platform does around them.

Every note, visit and claim in AraSync traces back to one person receiving care. The logo shows it too: an open circle around a person, with the person always at the center.

What is different

Operators first, software second

AraSync is not only something we sell. It is how our own agency does its work.

Built by people who do the work

When a practitioner, supervisor or biller hits a problem in AraSync, the person hearing about it runs the agency too. Fixes are prioritized by what gets in the way of care and billing.

Used every day

Our ARMHS practitioners, therapists, PCA staff and adult day program all run on AraSync. If something breaks, our own team feels it first.

Designed for real conditions

Phones lose signal mid-visit, audit notices arrive, and one client can have more than one payer. The mobile app works offline and syncs later, drafts save as staff write and earlier versions can be recovered, and each client's payers are tracked in their record.

Improved from real feedback

Changes ship regularly, and most start with something our own staff ran into. Credential tracking, pre-billing checks and claim workflows all grew this way. Feedback from other agencies gets the same attention.

What we built

One platform for the care, the visit and the claim

Each part was built for a job our own staff needed done.

Clinical documentation with an AI assist

Clinicians write the notes. An AI assist checks the wording against DHS documentation standards and suggests edits. The clinician decides what stays.

Electronic visit verification

Check-in and check-out with location and signatures, captured on the mobile app. Built because our own PCA staff needed it to work in the field.

Compliance checks and billing

Configured checks help flag missing documentation, signatures or authorization before review. Claims route to MN-ITS or Availity, and your billing team keeps the final say.

Who it is for

Agencies like ours

Minnesota providers who need one system that fits more than one program.

Mental health providers

ARMHS and outpatient therapy, with documentation workflows first built for our own clinical team.

PCA and CFSS agencies

Visit verification on the mobile app, with EVV data sent to HHAeXchange. We provide PCA services ourselves, so the edge cases are ones we have met.

Adult Day Services

Attendance, transportation and participant forms, built when we opened our own adult day program.

Multi-service organizations

One platform across service lines. Running a separate system for each program was not sustainable for us.
